Adding a link to the Person Register to the Audit Module
When conducting an audit or inspection, you are now able to select the auditor and auditee from your person register. This will allow you report and analyse your data with a more person centric view and understand of who is carrying out audits and inspections, and who is the recipient of these.

How to enable the person register link in the audit module:
Requirements:
- The Person Register module must be in use. If you do not have the Person Register and would like to understand more about it, please contact your Customer Success Manager.
- For the audit module, the following new fields must be enabled within caption maintenance:
- Auditee Forename(s)
- Auditee Name
- Auditee Person Reference {Link}
- Auditee Person Reference {Free Text}
- Auditee Surname
- Auditor Forename(s) – previously Auditor Name and will already be visible
- Auditor Name
- Auditor Person Reference {Link}
- Auditor Person Reference {Free Text}
- Auditor Surname
- Select Auditee from Person Register? – this will only show once the reference fields are enabled
- Select Auditor from Person Register? – this will only show once the reference fields are enabled
To enable the required captions go to:
- Settings > System Configuration > Module Setup > Audit > Captions:
- Click on new record
- Click on the property name drop down field
- Select the field you would like to add
- Change the display text and add guidance if you would like
- Ensure ‘display in interface’ is ticked
- Click Save and Close
The new fields will appear in the audit module:
Additional Notes:
- For reference fields, you must delete the words {Link} and {Free Text} from the display text before you save. In the example below, when you select Auditee Person Reference {Link} in the Property Name field, you need to delete the ‘{Link}’ (highlighted below) from the Display Text field before you save and Close.
- Auditor Name appears on the module record card and the reports, Auditee Name appears on the reports.
- You can use the new fields without having the person register link. In order to do this, enable all the fields as directed above, but do not enabled the ‘Select Auditee / Auditor from Person Register’ fields.
- When a person is selected from the person register, you will be able to see the connected records from the detail view of the person register record.
If you have used the audit module before the release of this functionality on 24 July 2023 you will see the following changes:
- The auditor name field has changed to the auditor forename
- The Auditor surname is visible automatically
- Auditor surname need to be added to portal questionnaires to use both fields
- Existing auditor name data will be visible in the auditor forename field
