AI Assistant for Hazard Spotting and Incident Record
You can now enable an AI Assistant for Hazard Spotting and Incident Record within Assure to allow your users to access additional information at point of need. This information can be tailored to the specific record they are looking at, and allow them to make an informed decision of their next steps. You can control who has access to create the AI Prompts which generate the information, and who can see the AI Assistant within the module record, ensuring that the right people have access.

Managing AI Prompts
Once the AI Assistant is enabled, you can give users access to manage the AI prompts. This is a new permission within the supervisor privileges:
This gives users the ability to create, edit and delete the AI prompts.
AI Prompts need to be written in a specific way to ensure the information generated is useful and well formatted. There is a plethora of articles available online which provide guidance on this subject.
In the settings menu, you will see an option called AI Prompt Manager:
There are default prompts available for you to use.
You can see on the table which prompt is the current prompt in use, and which is the default prompt. You are not able to edit the default prompt, if you want to use it but with some minor changes, you can make a copy of it.
There are a number of options available on the cog wheel for prompts. Note, these do not appear for the default prompt.
If the prompt is not the current one in use, you can easily make it current through this menu.
To create a prompt, select the + New button:
You can select which module the prompt will apply to:
Using Hazard Spotting in this example, once the module is selected, the ‘Add fields into the prompt’ option will be populated with the module fields available. These can be used when you are constructing your prompt. When the prompt is used within a record to generate a response, the data held in the corresponding fields will be used to construct the prompt:
In the example shown, the field ‘type of hazard’, and the field ‘hazard details’ have been added to the prompt. When this is used to generate a response the value selected in the record for type of hazard, and the details entered in the hazard details field will be used to construct the prompt.
eg: in this extract from a hazard spotting record:
The data here would be inserted into the prompt, and the prompt used would read:
A hazard was recorded for a Fire Hazard where Build up of combustible materials in the main stairwell, also blocking the fire exit doors. Provide feedback in sections with the headings listed below: Suggested resolution of the hazard. Suggested actions to implement to stop the hazard occurring again. Potential likelihood of harm from the hazard. Potential severity of resulting injuries.
Using the AI Assistant in Incident Record and Hazard Spotting
You are able to control which of your users can view the AI Assistant and generate a response from it.
There is a new role to view the AI Assistant within Hazard Spotting:
As the AI Assistant is only available in Incident Record and Hazard Spotting, you will need to ensure you enable this permission with a role which covers Incident Record and Hazard Spotting.
Once this permission is enabled, users will see a new section in an Incident Record or Hazard Spotting record:
When ‘Generate Response’ is clicked, a suggestion will be returned:
If you choose to save the record, this response will be retained and you will be able to see a history of any generate responses:
You need to save the record each time you generate a response in order for the response to be retained. If you select ‘History’, you will see any responses previously generated:
You are also able to change the name of the section in the module record, change the caption for the ‘Response’ field and add you own guidance to this. Please refer to this knowledge base article for more information on how to manage captions.
