The Attachment Area (the designated section within Assure where users can upload, manage, and organise files and URLs) is accessible via the Attachments Tab in the main navigation. The Attachment Area allows users to store files and URLs in a central location, organise content using folders, and link attachments to multiple Module (a functional component of Assure designed to manage a specific area of health, safety, and risk processes) records. Users can right-click files to access the Detail, Edit, and Delete options. The Detail option displays file information including which module the file is linked to. Files selected from the Attachment Area are labelled (shared) when associated with a record. The Connect Button allows users to link any file already uploaded to the Attachment Area to additional records without re-uploading.
Prerequisites
- An active Assure user account with login credentials.
- The Manage Attachment Area Supervisor Privilege (a high-level permission granting access to upload, organise, and manage attachments not linked to specific module records) to upload and manage files directly within the Attachment Area.
- The Link to Attachment Area Supervisor Privilege to connect Attachment Area files to module records using the Connect Button.
- Note: There is no read-only or download-only permission for the Attachment Area. Users either have full access via the Manage Attachment Area Supervisor Privilege or no access. Contact your Assure Administrator if access is required.
Accessing the Attachment Area
- Log in to Assure.
- Click the Attachments Tab in the navigation to open the Attachment Area.
Note: If this does not appear in your sidebar, it may not be enabled. Only an Evotix system privileged user can enable this; customer administrators cannot. Contact Evotix Support or your Customer Success Manager to have it enabled.
Navigating the Attachment Area Layout
Once the Attachments Tab is open, the Attachment Area displays files, folders, and URLs.
- Links: Click any link to open the link in a new browser window.
- Images: Double-click an image to download the image.
- Folders: Double-click a folder to enter the folder and view its contents.
- Drag-and-drop: Drag items and drop them into folders to organise the Attachment Area.
Right-Click Options
Right-clicking on a file in the Attachment Area displays the following options:
- Details: View information about the file, including which module the file is linked to.
- Edit: Edit the file properties.
- Delete: Delete the file from the Attachment Area.
Shared Attachments vs. Individually Uploaded Attachments
A list of each record’s attachments can be accessed by clicking the Attachments icon located at the bottom-left of the module record’s list view.
When creating a record or adding attachments to a record, the attachment list distinguishes between two types of attachments:
- Items labelled (Shared File) are Shared Attachments (files or links selected from the Attachment Area and associated with multiple records across the system).
- Items with the (Upload) label have been individually uploaded using the standard method during record submission and are not sourced from the Attachment Area.
Connecting an Attachment Area File to a Record
The Connect Button allows users to link any file already uploaded to the Attachment Area to additional records, without re-uploading the file.
- Open the record to which you want to attach a file.
- Navigate to the Attachments Tab within the record.
- Click the Connect Button.
- Select the file from the Attachment Area that you want to link to the record.
- The selected file appears as a Shared Attachment on the record.
Note: The Link to Attachment Area Supervisor Privilege is required to use the Connect Button functionality.
Viewing File Details
The Detail option displays information about an individual attachment, including which module the file is linked to.
- Locate the attachment in the Attachment Area.
- Right-click on the attachment.
- Select Detail from the context menu.
The Detail view shows file information such as file name and the module the attachment is linked to.
Notes and Warnings
- Note: There is no read-only or download-only permission for the Attachment Area. Contact your Assure Administrator if access is required.
- Note: Items drag-and-dropped into folders within the Attachment Area help organise files but do not affect the linkage of those files to existing records.
- Note: A Shared Attachment remains linked to all records it has been connected to, even if the attachment is moved into a folder within the Attachment Area.
- Note: To add the same attachment to multiple records simultaneously, use the Access Multi Mode Supervisor Privilege and the Bulk Multi Attach Tool.
