Assure is designed so that everyone in your organisation can easily engage with Health & Safety.
Therefore, in addition to English which is the primary language in Assure, the system is available in a number of Languages.

How do users and administrators change language settings?
All users can change their personal settings so that they can automatically view the system with their preferred language.
To do this, at the top of the page if the user selects their Username and then My Preferences.
Within the next window, once you have selected the language you wish to view Assure in and then select Save and Close, this will update your settings permanently.
System Administrator Settings
System Administrators can set a default language for both current and new users.
To do this, go to Settings -> Organisational Configuration -> Users.
Select the Cog and then Edit next to the user you wish to change the settings for or select New Record if you are creating a new user.
Within the Details section, you will see the option to set the Language for the user but remember that users are able to change this within their Preferences.
How to configure multi-languages in Assure
The following elements will have to be configured for any new language added
- AssureGO+/Portal Questionnaires
- iQ Templates
- Captions, Guidance and Picklists
1. AssureGO+/Portal Questionnaires
When a new language is added to your Assure system you will need to update your Portal Questionnaires in order to view them in the new languages you have set.
To do this go to Settings -> Portal -> Questionnaire.
Select the Questionnaire you wish to translate and select Copy.
If you wish to create a new Questionnaire, then select New Record.
You will need to manually translate the Questionnaire Name and any Descriptions you have. Then within the User Input Language, you will want to select the language you wish to view the Questionnaire in.
Click Save and Close.
You will then need to add in the sections you wish to see within the Questionnaire, as these are not generated when you copy the Questionnaire.
Select the Cog then Sections.
Select New Record.
Add in the manually translated Header Text, Save and Close.
Then select the Cog and Fields.
Within the Property Name you will want to select the Field you wish to add, and then in the translated Caption and any Guidance you wish to see within the Questionnaire.
Once you have generated all the sections you wish to see within this Questionnaire, you will then be able to add it to the Portal you wish to view it on.
When on the Portal, you can change the language settings by selecting from the drop-down menu at the top of the page. If you wish to filter down to just show Questionnaires in your selected language select the tick box next to the drop-down menu.
2. iQ Templates
When additional languages are added to your Evotix Assure system, updates will need to be made to any iQ Templates you wish to view in the different languages now set.
There are two ways to translate an IQ template. The first is to use the Export with translation option, and the second is to create a copy of the IQ template.
Export with translations:
Find the IQ Template you would like to translate, using the cog menu select ‘Export with translations':
This will download a zip file with two files in it. One is an IQT file, and the second is a CSV.
The IQT file contains the structural information of the IQ Template, the layout of the sections and questions, the configuration options for each question and so on.
Do not edit the IQT file.
The CSV contains all the text based data from the IQ Template, section names, question text, guidance text and so on.
Do not edit any of the existing data in the CSV file. Do not edit, add rows, remove rows etc. Only had translations to column E.
The length of the csv will vary depending on how large your IQ template is, and how complex it is.
Add your translations to column E:
If no translation is added, the IQ template will be created with the original English value.
For multimedia guidance, embedded images or videos will not be imported. The source code for these often exceeds the excel cell character limit so they are excluded.
Understanding the CSV:
The highlighted numbered sections in the CSV screenshots correspond to the numbered sections in the Assure screenshots to show where in the IQ Template this data is held. Please refer to these articles for how to create and manage IQ Templates:

Note: The template picklist name (in this example ‘Answers Picklist’) is only visible in the IQ Template edit screen, and when configuring single and multi select questions. End users cannot see this.

Note: The Comments (in this example ‘Branch Comments’) is only visible in the IQ Template edit screen, and is often used to add commentary around what triggers that branch. End users cannot see this.

Save your CSV File. The name of the CSV does not matter.
In Assure, Select Import IQ Template > Enter the name for your IQ Template > Select the language > upload the IQT and the CSV files > Save and Close
When successful, the new IQ Template will be visible:

Please ensure you upload the correct IQT and CSV file, the two files work together to create the IQ template . You will receive a number of errors if the two files do not match:
Create copy of IQ Template:
Go to Settings -> Templates -> iQ Templates.
If you already have templates that you have created, then we would first suggest making a copy of the template by selecting the Cog and then Copy.
Once you have made this copy, or if the template you wish to change is already a Draft version you will want to select the Cog again and then Edit Template.
In the next window, you will want to select the Edit button, then you can set the language you wish to view the template in, you will also need to manually translate the Template Name and any Captions you have set for the Template.
Save and Close.
You will then need to manually update the Question Set Captions in order to be able to view them in the set language for this template.
To do this go to the Cog at the top of the Edit page, and select Configure Question Set.
Select the Section you wish to translate, and manually translate the Section Name or Question Caption. If there is any Guidance under the Section or Question then this will also need to be manually translated.
Once this is done then select the Cog at the top of the page again and select Template List.
Once this is done to publish the template you have just edited or created select the Cog and then Confirm Version.
Captions, Guidance, and Picklists
Any custom Captions, Guidance, and Picklists you have on your Assure system will not be translated to the new Languages you have set up on your system.
They will default back to the original options, and these will be the ones that are translated.
The below steps will only need to be taken if you are not happy with these default captions.
Captions and Guidance
To translate these first, go to Settings -> System Configuration -> Module Setup.
On the Module you wish to translate the captions on select the Cog and then Captions.
This will bring up any custom captions you have within the system.
To add in a custom language translation, select New Record.
Change the Language, select the Property Name you wish to change, and add in the translated caption and any translated guidance you wish to see.
Save and Close.
Picklists
Any custom additions you have made to a Picklist will need to have manual translations added to the Assure system.
To do this go to Settings -> System Configuration -> Picklist Data Dictionary.
On the Dictionary you wish to add translated captions select the Cog and then Manage.
Select the Cog next to the option you wish to translate and then Edit.
Under Translations select Add.
Select the Language and add in your Translation.
Click Save and Close.
