How to translate free text in an Incident Record?
Free text translation provides the user the ability to translate any free text field within an Incident Record and linked IQ form into the user's default language. This allows users to better learn from incidents by better understanding the details that they would not normally be able read if they are provided in a different language.
For example:
A user's primary language is English so their default user language is set to English UK. If they open an incident record where details have been provided in French, they can select ‘Translate Form’ and the free text fields translates to their default user language, in this case English UK, to read.
Free text fields up to 10k bytes can be translated (around 10,000 characters) and are displayed in the detail view of the record.
HOW ARE FREE TEXT TRANSLATIONS ENABLED?
Free text translations is an additional service that has to be enabled by a member of the Evotix team in your system settings. Please contact your customer development manager (CDM) or customer success manager (CSM) if you are interested in this additional service.
Once enabled you can configure which free text fields for the Incident event module you want to be included in any free-text translations by ticking “Enable free text translations” in caption maintenance for each field. As default some captions will be disabled e.g. phone number.
HOW TO USE FREE TEXT TRANSLATIONS?
You can initiate translations by selecting “Translate Form” within the more menu of the edit/detail view of an incident record.
If in the detail view of an incident record a banner will show with the same option to “Translate Form”.
The first time a user selects ‘Translate Form’, a disclaimer message will show to remind the user of accuracy of translations. Translation accuracy will depend on the quality of text in the fields such as ensuring content is written in one language rather than multiple.
Once translated you will see a success banner and a translated icon next to the translated fields.
If for any reason the translation is unsuccessful for one or more free text fields an info banner will show to inform you.
