Adding a link to the Contractor Register in Contractor Sub Modules

This article explains how to enable a link between the Contractor Register (the central Assure module that stores and manages supplier and contractor records) and the Contractor Sub Modules (Notification of Project, Pre-Construction Information, Construction Phase Plan, and Health and Safety File Preparation). When the link is enabled, users can select a contractor directly from the central Contractor Register within any of these sub modules, enabling contractor-centric reporting and data analysis. The link is configured by enabling specific fields via Caption Maintenance (the Assure configuration area that controls which fields are visible, labelled, and configured on module forms) within Module Setup. This feature is only available in the main Assure web application and is not available in AssureGO+.

Cross-module scope: This configuration spans the Contractor Management area of Assure and affects the following modules: Notification of Project, Pre-Construction Information, Construction Phase Plan, and Health and Safety File Preparation. The Contractor Register (Supplier/Contractor sub module) must also be active.

Prerequisites

Before enabling the Contractor Register link, confirm the following:
  • The Contractor Register (Supplier/Contractor sub module) is active and in use on your Assure system.
  • The user performing configuration holds the Manage Caption Maintenance and Manage Module Settings Supervisor Privileges (high-level permissions for advanced Assure configuration).
  • For the Pre-Construction Information, Construction Phase Plan, and Health and Safety File Preparation sub modules (these may have been renamed in your system, please check the URL of the sub module to confirm name), the following Caption Maintenance fields must be enabled before the Contractor Register link is functional:
    • Select Contractor from register
    • Contractor Name {Link}
    • Contractor Name {Text}
Note: The Notification of Project module does not require these additional Caption Maintenance fields to use the link.

 

Linking the Contractor Register to Contractor Sub Modules

When managing contractors in the Contractor sub modules of Assure (the Evotix health, safety, and risk management platform), users can select a contractor directly from the central Contractor Register (the Assure register that stores supplier and contractor company details). This creates a contractor-centric data view and enables more accurate reporting and analysis across contractor activity.
Important: The ability to select contractors from the Contractor Register is not available in AssureGO+ (the Evotix mobile progressive web application). This feature applies to the main Assure web application only.
The Contractor Register link is available in all of the following Contractor Sub Modules:
  • Notification of Project
  • Pre-Construction Information
  • Construction Phase Plan
  • Health and Safety File Preparation
Note: Depending on your organisation's configuration of Assure, these modules may appear under different names. The Contractor Register link will be available in all of them regardless of the display name.  To identify the original name of the sub module, please check the URL when in the sub module.  
 
Tip: Finding the original sub module name If you are unsure of the original system name for a sub module, navigate to the sub module in Assure and look at the URL in your browser's address bar. The system name appears in the URL path (for example, .../Contractor/PreTender/...). Use this name to locate the correct module in Module Setup when enabling captions.

 

How to Enable the Contractor Register Link

Step 1 - Navigate to Module Setup

i. In Assure, click Settings in the top navigation bar.

ii. Under System Configuration, select Module Setup.

Step 2 - Open Captions for the Relevant Contractor Sub Module

i. In the Module Setup list, locate the Contractor section.

ii. Find the sub module you wish to configure (for example, Pre-Construction Information).

iii. Click the Cog Menu (the settings icon) next to the sub module name.

iv. Select Captions from the dropdown menu.

Step 3 - Add a New Caption Field

i. Click the +New button to add a new caption entry.

ii. Click the Property Name dropdown field.

iii. Select the field to add from the list (for example, Contractor Name {Link}, Contractor Name {Text}, or Select Contractor from register).

iv. Optionally, update the Display Text to customise the label shown to users on the form. Add Guidance Text if required.

v. Ensure the Display in Interface checkbox is ticked.

vi. Click Save and Close.

vii. Repeat Steps 7 to 12 for each required caption field.

 

Step 4 - Verify the Fields Appear in the Module

Once all required captions are saved, the new fields appear on the relevant Contractor sub module form.

Important Notes

Removing {Link} and {Free Text} from Display Text

When adding reference fields such as Contractor Name {Link} or Contractor Name {Text} via the Property Name dropdown, the system auto-populates the Display Text field with the same value including the identifiers {Link} and {Free Text}. Before clicking Save and Close, the administrator must manually delete {Link} or {Free Text} from the Display Text field.
 
Example: When the Property Name Contractor Name {Link} is selected, the Display Text field will show Contractor Name {Link}. Delete {Link} so the Display Text reads Contractor Name before saving.

Using the Fields Without the Contractor Register Link

The Contractor Name {Link} and Contractor Name {Text} fields can be used as free-text name fields without enabling the Contractor Register link. To do this, enable all the fields as described above, but do not enable the Select Contractor from register field.
 
Users will then be able to enter contractor names manually without the system linking to a Contractor Register record.

 

Viewing Connected Records from the Contractor Register

When a user selects a contractor from the Contractor Register within a sub module form, the connected sub module records become visible from the Detail View (the read-only page that displays all information stored against a record) of the relevant Contractor Register record. This creates a bidirectional relationship between the Contractor Register and the sub module records.
