Background Processing is a platform mechanism in Assure (the Evotix EHS management platform) that automatically queues and runs time-consuming bulk operations in the background, allowing the user to continue working without waiting for the task to finish. When a background job is triggered, Assure notifies the user via an in-app Toast Notification and an email containing a link to a Summary Page that shows the outcome of the job, including any records that failed to process and the reasons why. The Summary Page is available for 30 days after the job completes.
Cross-module scope: Background Processing spans the Incident module, Procedural Audit module, and People and Training module depending on the action taken.
Prerequisites
Background Processing triggers automatically when a qualifying operation is initiated. There is no separate setup or configuration required for Background Processing itself. However, the following must be in place before a user can trigger a background operation:
An active Assure user account The user must be logged in to Assure with an active account.
Appropriate module access and permissions The user must have the Role Permissions required to perform the specific operation that triggers the background job. Permissions vary by operation:
- Bulk Delete -- the user must have Delete permission for the Incident or Procedural Audit module
- Training-related operations (Auto Archive, Training Bulk Update, Create Training Records, TNA Template updates) -- the user must have the appropriate permissions within the People and Training module to perform the relevant action
Without the necessary permissions, the triggering operation will not be available to the user and no background job will be created.
A valid email address on the user account Assure sends the Summary Page link by email to the user who initiated the background job. If the user's account does not have a valid email address configured, the email notification will not be delivered. The user should confirm their email address is set correctly in their Assure user profile before running large bulk operations.
Note: There is no configuration needed to enable Background Processing. It runs automatically whenever a qualifying operation is performed by any user with the appropriate permissions.
What is Background Processing?
Some operations in Assure, particularly bulk actions that affect large numbers of records, take time to complete. Without Background Processing, a user would have to wait on the screen for the task to finish before they could do anything else.
Background Processing solves this by queuing the work as a background job the moment a user triggers a qualifying operation. Assure then processes the job automatically while the user continues working normally. The user is notified when the job starts and when it finishes, and can review the results at any time via the Summary Page.
This means that even large bulk operations - deleting thousands of records, creating training records for an entire organisation, or running a TNA template update - do not block the user from continuing to use Assure.
When Does Background Processing Trigger?
Background Processing is triggered automatically when a user performs any of the following operations:
Incident and Procedural Audit modules:
- Bulk Delete of Records -- deleting multiple records at once in the Incident or Procedural Audit module
People and Training module:
- Adding Courses to Roles -- adding courses to roles via TNA Templates
- Auto Archive Training Records -- automatically archiving training records that meet the configured criteria
- Training Bulk Update -- updating multiple training records simultaneously
- Roles / TNA Template Update -- applying updates to existing roles or TNA templates
- Create Roles (TNA Templates) and Training -- creating new roles and associated training via TNA templates
- Create Training Records -- creating training records in bulk
The user does not need to do anything to activate Background Processing. It starts automatically as soon as any of the above operations is initiated.
What Happens When a Background Job Runs?
Step 1: Job Queued and Started
As soon as the operation begins, Assure queues the work as a background job. A Toast Notification (a brief, unobtrusive popup that appears in the top right corner of the screen) confirms that the job has started. The user can navigate away from the screen and continue working immediately.
Step 2: Job Completes
When the job finishes, Assure displays a second Toast Notification confirming completion. At the same time, Assure sends an email to the user who initiated the job. The email contains a direct link to the Summary Page.
Step 3: Review the Summary Page
The Summary Page provides a full report of the background job outcome:
- Total records successfully processed -- how many records were completed without issue
- Total records that failed -- how many records could not be processed
- Failure details table -- a list of the references for any failed records alongside the specific reason each record failed
This allows the user to identify and resolve any issues without needing to re-run the entire operation.
Important: The Summary Page link remains accessible for 30 days from the time the background job completes. After 30 days, Assure automatically deletes the summary information. Users should review the Summary Page promptly for large or critical operations.
What Should a User Do If Records Failed?
If the Summary Page shows failed records, the user should:
- Review the Failure Details table to identify which records failed and why
- Address the reason for failure (for example, a missing mandatory field, a duplicate reference, or a permissions issue)
- Re-process the failed records individually or in a new bulk operation once the issue is resolved
Failed records are not partially processed. If a record appears in the failed list, no changes were applied to it.
