Background Processing in Assure – Evotix

Background Processing (a feature within the Assure (Evotix's cloud-based EHS&S management software) platform that allows time-consuming tasks to run automatically without interrupting the user's workflow) is triggered when a user performs any of the following operations:

Bulk Delete of Records (Incident and Procedural Audit modules)

Adding Courses to Roles (TNA Templates)

Auto Archive Training Records

Training Bulk Update

Roles/TNA Template Update

Create Roles (TNA Templates) and Training

Create Training Records

When any of these tasks begin, Assure queues the work as a background job. The user who initiated the task receives a Toast Notification (a brief, unobtrusive popup notification appearing in the top right corner of the screen) when the job starts and again when it completes. The initiating user also receives an email containing a link to a Summary Page. The Summary Page remains accessible for 30 days, after which Assure automatically deletes the information.

Cross-module scope: This feature spans multiple Assure modules. Bulk Delete applies to the Incident and Procedural Audit modules. All training-related background tasks (TNA Template updates, Training Bulk Update, Auto Archive, Create Training Records) operate within the People and Training module.

What is Background Processing?

Background Processing allows the following actions to execute automatically in the background, enabling users to continue working in Assure without interruption while the task completes:

Bulk Delete of Records (Incident and Procedural Audit)
Adding Courses to Roles (TNA Templates)
Auto Archive Training Records
Training Bulk Update
Roles/TNA Template Update
Create Roles (TNA Templates) and Training
Create Training Records

Notifications and Feedback

Toast Notifications

When a background job starts, a Toast Notification appears in the top right corner of the screen, confirming the job has begun.

When the job finishes, Assure displays a second Toast Notification to inform the user of its completion.

Email Notification and Summary Page

In addition to the in-app notifications, Assure sends an email to the user who initiated the background process. The email contains a link to a Summary Page (a page provided in Assure after a background process finishes, containing details about the number of records processed and failed, with references and reasons for any failures).

Summary Page

The Summary Page provides:

The number of records successfully processed
The number of records that failed
A detailed table listing the references for failed records alongside the reasons for failure

Note: The Summary Page link remains accessible for 30 days from the time the background job completes. After 30 days, Assure automatically deletes the summary information.
