This article explains how to access and interpret the Audit Trail Log (a chronological record of all changes made to a record, including what was changed, who made the change, and when) for any record within Assure. The Audit Trail Log is available on every Module (a functional component of Assure designed to manage a specific area of health, safety, and risk processes) record. Users can view a summary log, expand entries to see full record details, and drill into individual field changes to compare old and new values. This feature supports accountability, compliance tracking, and audit investigations. Access to the Audit Trail Log is controlled by the View Audit Trail Log Role Permission.
Prerequisites
- An active Assure user account.
- The View Audit Trail Log Role Permission (a permission that grants the ability to view the audit trail log for records, including creation and edit history) must be assigned to your role. If the Logs option does not appear in the Menu Cog, contact your Assure Administrator to confirm this permission is enabled.
Problem / Intent
Users need to verify whether a record has been changed, identify what was changed, and confirm who made the change and when. The Audit Trail Log provides a complete, timestamped history of all edits made to a record, enabling accurate investigations and supporting compliance requirements.
Steps
1. Open the Audit Trail Log
- Navigate to the relevant Module in Assure (for example, Incident Record, Risk Assessment, Audit).
- Locate the record you wish to inspect in the module list view.
- Click the Three dots icon to open the record actions menu.
- Select Logs from the menu.
The Audit Trail Log opens, displaying a chronological list of all events against the record, including when the record was created and every subsequent edit.
2. View Full Detail of a Log Entry
To see full detail for a specific log entry (for example, to confirm when a record was edited):
- Locate the relevant log entry in the Audit Trail Log.
- Click Full Detail from the menu cog next to that log entry.
The Full Detail view expands the log entry to show all information recorded at that point in time.
3. View Section-Level Detail
Within the Full Detail view, the user can inspect detail at the section level:
- Click the Cog icon next to a section within the Full Detail view.
- Select Details.
The section details relating to that part of the record will display.
4. View Field Changes
If a record has been edited, the user can view the specific fields that were changed during that edit:
- Within the log entry, locate the Field Changes option.
- Click Field Changes.
The Field Changes panel displays each field that was modified during that edit event.
Selecting Field Changes shows both:
- The old value (the value before the edit)
- The new value (the value after the edit)
Notes
- The Audit Trail Log records all changes saved against any Module record within Assure. It does not capture unsaved changes.
- If a record is edited simultaneously by two users, only the changes from the last save are committed. The Audit Trail Log will identify the changes that were ultimately saved.
- The Logs option only appears in the Menu Cog if the user has the View Audit Trail Log Role Permission. If the option is not visible, contact your Assure Administrator.
