This article explains how to open the edit page for a Module Record (an individual entry of data within an Assure Module) in Assure. There are two methods: using the Three dots icon or clicking any text in the module list view. Both methods open the record's edit page, where a user can update fields and save changes.
This article also covers a critical concurrent editing limitation: when two users edit the same record simultaneously, Assure does not alert either user, and the last user to save overwrites the other's changes. The Audit Trail Log (a chronological record of all changes made to a Module Record) can be used to identify what was saved.
Prerequisites
- An active Assure user account.
- Write permission (the Role Permission that enables creating, editing, and copying Module Records) for the relevant Module and Organisational Unit (Org Unit).
Problem / Intent
Users need to update information held within an existing Module Record, whether to correct data, progress a workflow, or add detail following an incident or assessment. This article describes how to navigate to the edit page for any Module Record using two available access routes.
Steps
Method 1: Open a Record via the Three dots
- Navigate to the relevant Module (for example, Incident Record, Risk Assessment, Audit) using the left-hand navigation panel.
- In the module list view, locate the record you wish to edit.
- Click the Three dots icon on the right side of the record row.
- Select Edit from the dropdown menu that appears.
- The record's edit page opens. Make the required changes to the record fields.
- Click Save Record to commit the changes.
Method 2: Open a Record by Clicking Text in the List View
- Navigate to the relevant Module using the left-hand navigation panel.
- In the module list view, locate the record you wish to edit.
- Click on any text displayed on the record row.
All text shown in the list view of the record is clickable and navigates the user directly to the record's edit page.
- Make the required changes to the record fields.
- Click Save Record to commit the changes.
Notes and Warnings
Note: You must have the appropriate Write permission for the Module you are working in. Without Write permission, the edit page will not be accessible. Contact your Assure Administrator to review your Role Permissions if access is required.
Warning: Concurrent Editing
In Assure, if the same Module Record is opened and edited by two users at the same time, the last user to save the record will have their changes saved. There is no mechanism to alert users that another user is editing the same record simultaneously. Assure Administrators should be aware of this behaviour and take steps to prevent data conflicts arising within Module Records.
Note: The Audit Trail Log (accessible via the Three dots on any record by selecting Logs) identifies all changes that have been saved against any Module Record within Assure. This can be used to review what was changed, by whom, and when.
