This article explains how to upload a file attachment directly to a Module (a functional component of Assure designed to manage a specific area of health, safety, and risk processes) record using the Record List View (the page that displays all records for a given Module in a tabular format). It covers how to access the attachment icon, use the Upload File button to browse for and upload a new file, enter a file description, and understand the attachment usage and file size information displayed on the page. It also describes the Connect button, which allows users to link files already stored in the Attachment Area (the designated shared repository within Assure where files can be uploaded, organised, and linked to multiple Module records) to a record. Users can also Edit and Delete attachments from the same page.
This feature applies across all Modules in Assure.
Prerequisites
- An active Assure user account with login credentials.
- Write permission for the relevant Module and Organisational Unit (the permission level that allows a user to create, edit, and copy Module records and add or edit attachments against Module records).
- To use the Connect button, the Link to Attachment Area Supervisor Privilege must be set to Allow on the user's account, and the Attachment Area feature must be enabled in the system.
Problem / Intent
Users need to attach supporting files such as images, documents, or PDFs to a Module record in Assure. This article explains how to upload an attachment directly from a local device, how to link a file from the shared Attachment Area, and how to manage existing attachments on a record.
Steps
1. Access the Attachment Icon from the Record List View
- Log in to Assure.
- Navigate to the relevant Module using the Modules menu in the main navigation bar (for example, Incident Record, Risk Assessment, or Audit).
The Record List View will display, showing all records for that Module.
- Locate the attachment icon displayed on the record row to which you want to upload an attachment.
- Click the attachment icon on the relevant record row.
2. Navigate the Attachments Page
After clicking the attachment icon, the attachments management page for that record opens. From this page, you can perform the following actions:
- Click Upload File to upload a new file from your device.
- Click Connect to link a file already uploaded to the Attachment Area of Assure (this option is only available if the feature is enabled and the user has the Link to Attachment Area Supervisor Privilege).
- Click Edit to modify the description or details of an existing attachment.
- Click Delete to remove an existing attachment from the record.
3. Upload a New Attachment
- Click the Upload File button on the attachments management page.
- A form will appear prompting you to complete the following fields:
- Description: Enter a description of the file you are uploading.
- Browse: Click the Browse button to open the file selector on your device and locate the file you want to upload.
- Select the file and confirm the selection.
Notes and Warnings
Note: The Connect button is only visible if the Link to Attachment Area Supervisor Privilege is set to Allow on the user's account. If the button is not visible, contact your Assure Administrator.
Note: Files uploaded using the Upload File button are stored against the individual record only. They are not added to the shared Attachment Area. To reuse a file across multiple records, upload the file to the Attachment Area separately using the Manage Attachment Area Supervisor Privilege, then use the Connect button to link the file to records.
Note: To add the same attachment to multiple records simultaneously, use the Multi Mode (Bulk Multi Attach Tool) feature, which requires the Access Multi Mode Supervisor Privilege. Search for article titled "How to Add Attachments to Multiple Records with the Bulk Multi AttachTool" for more detail.
