This article explains how to permanently delete a single record in Assure using the Three Dots icon (the icon that provides a list of available actions for a record). Deletion is a permanent, irreversible action. A Delete Confirmation Box is displayed each time to prevent accidental deletion. Evotix recommends restricting Deletion Privileges (the permission that allows a user to permanently remove module records from Assure) to a small number of experienced users. As an alternative to deletion, records can be marked as Archived (a status that hides a record from standard list views without permanently removing it).

Prerequisites
- An active Assure user account with Delete permission granted via Role Permissions (the set of access rights defining what actions a user can perform within specified modules and Organisational Units).
How to Delete a Record
- Navigate to the relevant module in Assure (for example, Incident Record, Risk Assessment, Equipment Register).
- In the module's record list view, locate the record you wish to delete.
- Click the Three Dots icon on the record row.
- Select Delete from the dropdown menu.
- A Delete Confirmation Box appears, asking you to confirm that you want to delete the record. Confirm the deletion to permanently remove the record.
Note: The Delete Confirmation Box appears every time the Delete option is selected. This safeguard is in place to prevent accidental deletions.
Important Warnings
Warning: Deletion is permanent and cannot be reversed. Once a record is deleted from Assure, the record is not recoverable. Confirm the record is no longer required by any user before proceeding.
- All users of Assure should exercise caution when deleting records. A record should only be deleted when there is absolute confidence that it is no longer required by the deleting user or any other user in the system.
- Evotix recommends that Deletion Privileges are granted only to a select number of users who have an in-depth knowledge of Assure and the data it holds.
Alternative to Deletion: Archiving a Record
As an alternative to permanently deleting a record, it is possible to hide a record by marking it as Archived. An Archived record is removed from standard list views but remains in the system and can be retrieved if required. This approach preserves data integrity and is the preferred option when a record is no longer actively needed but may be required for historical or reporting purposes.
To view Archived records, enable the Show Archived Records option within the Filters panel.
