Steps: How to Filter on an Organisational Unit
Step 1: Open the Filter Manager
In any module's list view, click the Filter button at the top of the list view, then click the Add Filter icon to create a new filter.
Step 2: Name the Filter and Add a Condition
Give the filter a name, then click the green Add button to add the conditions for the filter.
Step 3 -- Select the Filter Field
From the field dropdown, select Org Unit - Name as the field to filter on.
Step 4: Set the Condition
From the next dropdown, select a condition. For example, select Equal To to match records assigned to a specific Org Unit exactly.
Step 5: Enter the Org Unit Name
In the text box, begin typing the name of the required Org Unit. As the user types, a list of matching Org Units will appear. Select the desired Org Unit from the suggestions.
Step 6: Save the Filter Condition
Once the desired Org Unit is selected, click Save & Close to save the filter condition and return to the filter list.
Step 7: Save and Apply the Filter
Click Save & Close to save the filter without applying it immediately or click Save & Apply to save the filter and apply it to the current list view at the same time.
Result
After the filter is applied, the module list view will display only the records associated with the selected Org Unit.
Notes
- The Org Unit - Name field uses autocomplete to assist with selecting the correct Org Unit. Begin typing to see matching results.
- The Equal To condition matches records assigned directly to the named Org Unit. Other conditions (such as Contains) may be available depending on your system configuration.
- Role permissions apply to specific modules and Org Units. A user will only see data within the Org Units their role permissions cover. If an expected Org Unit does not appear in the autocomplete, contact your system administrator to verify your access.
- This filter approach applies to all modules within Assure, including Incident, Risk Assessment, Audit, Equipment Register, and any other module that stores records against an Org Unit.
- If you need to filter across multiple Org Units at once, consider using an Org Group (a named collection of Org Units) rather than creating individual filters per unit.
