Prerequisites

Users need to record the completion of an assigned Action against a specific module record in Assure. This process allows users to log when a task was finished, add supporting comments, and update the Action's status from open to completed, ensuring accurate tracking and compliance visibility across the organisation.
Steps
Step 1: Navigate to the Record
Log in to Assure.
Navigate to the relevant Module, using the left-hand navigation panel.
Locate and open the required record in the module list view.
Step 2: Open the Actions Panel
Click the action icon on the required record row in the module list view.
This opens the Actions panel, displaying all Actions associated with the record.
Step 3: Initiate Completion
5. Click the Complete button next to the specific Action you wish to complete.
The system navigates to the Complete Action form (a form used to mark an Action as finished, capturing completion details).
Step 4: Enter Completion Details
6. On the Complete Action form, enter the following:
Date: The date on which the Action was completed.
Comments: Any relevant notes or details about the completed Action.
Notes & Warnings
Note: The Action status changes to Completed only after clicking Save & Close. Closing the form without saving will leave the Action in its previous state.
Note: Only the user assigned to the Action, or a user with appropriate Override Actions permissions, can complete an Action on behalf of another user.
Note: Completed Actions no longer appear in the default open Actions view. To view completed Actions, navigate to Task Management > Action Manager and tick the Show Closed and Removed Actions checkbox.
Note: After completing an Action, an Action Approver may still need to formally close the Action depending on your organisation's workflow configuration. Refer to the Action Details Screen article for the full action lifecycle.
Examples
Example 1: Completing a Corrective Action from an Incident Record
A safety officer has been assigned an Action to carry out a corrective measure following an incident investigation. The Action appears against the Incident Record.
Walkthrough:
- Navigate to Modules > Incident > Incident Record.
- Locate the relevant record in the list view.
- Click the action icon on the record row.
- Identify the Action titled "Install wet floor signage in warehouse B".
- Click Complete.
- Enter Date: 24/03/2026.
- Enter Comments: "Wet floor signs installed at all entrance points. Reviewed by site supervisor."
- Click Save.
- The Action status updates to Completed.
Example 2: Completing an Audit Follow-Up Action
A quality manager completes a follow-up Action raised during a procedural audit.
Walkthrough:
- Navigate to Modules > Audit > Procedural Audit.
- Open the relevant audit record.
- Click the action icon.
- Locate the Action "Update emergency evacuation procedures document."
- Click Complete, enter the completion date and comments, and click Save.
Troubleshooting
Symptom: The Complete button is not visible next to the Action.
- Cause: The Action may already be in a Completed or Closed status, or the user does not have permission to complete the Action.
- Resolution: Check the Action's current status. If already completed, no further action is required. If a permissions issue, contact your Assure Administrator to verify your role permissions.
Symptom: The Action still appears as open after clicking Save.
- Cause: The form may not have saved correctly, or a mandatory field was left empty.
- Resolution: Re-open the Complete Action form, ensure the Date field is populated, add comments if required, and click Save again.
Symptom: The completed Action is no longer visible in the record's action list.
- Cause: Completed Actions are hidden from the default open Actions view.
- Resolution: Navigate to Task Management > Action Manager and enable the Show Closed and Removed Actions checkbox to display completed Actions.
FAQ
Q: Can I complete an Action that is assigned to someone else? A: This depends on your role permissions. If you have the Override Actions permission, you may be able to complete Actions assigned to other users. Contact your Assure Administrator to confirm your permissions.
Q: What is the difference between completing and closing an Action? A: Completing an Action (using the Complete button) marks the task as done by the assignee. Closing an Action is a separate step performed by the Action Approver to formally approve and close the completed Action. Some organisations use Workflow Rules to automatically close Actions on completion.
Q: Where can I view all completed Actions? A: Navigate to Task Management > Action Manager and tick the Show Closed and Removed Actions checkbox to display Actions that have been completed or closed.
Q: Is a comment mandatory when completing an Action? A: By default, comments are optional. However, your organisation may have configured the New Comment field as mandatory on completion via Caption Maintenance. Check with your Assure Administrator if you are required to enter a comment.
