This article explains how to create an Action (a tracked corrective task assigned to a named user, with a due date and completion workflow) in the Evotix Assure health and safety management system. Actions can be created in two ways: directly from any module record within Assure using the Actions icon, or from the standalone Actions page using the New Record button. When an Action is created and assigned, the system automatically sends a notification email to the assigned user. Actions can also be created on AssureGO+ as part of a form submission, when this capability has been enabled by an administrator.
How to Create an Action in Assure
Method 1: Via a Module Record
Navigate to the relevant module (for example, Incident, Risk, or Inspection).
Find the record against which the Action should be created.
Click the Actions icon on the record.
Click New Record Action.
Complete the Action form with the required details.
Click Save and Close to save the Action.
Note: The Org Unit field for module-based Actions is read-only and is automatically populated with the Org Unit saved to the parent module record.
Method 2: Via the My Tasks Page (Free Standing Action)
Navigate to the My Tasks page from the main menu by opening the Tasks menu on the left bar menu.
Then from within this menu, click My Tasks.
Click the New Record button.
Complete the Action form with the required details.
Click Save to save the Action.
Note: The Org Unit Selector field is available at the top of the page for Free Standing Actions. A Free Standing Action is an Action created independently, not linked to any specific module record.
Action Notification Email
Once an Action is created and assigned, an Action notification email is sent to the user the Action is assigned to, to alert them.
How to Add Comments to an Action
Action Comments can be added at two points in the Action workflow:
When completing an Action: The system navigates to the Complete Action form (a form used to mark an Action as finished, capturing completion details). The user fills in the required completion details on the form. A New Comment field is available on this form to record any relevant notes alongside the completion date.
When editing an Action (in progress): If a user is unable to fully complete an Action but has made some progress, they can select the Edit option on the Action record. The Edit option navigates to the Action edit form, where the user can enter a percentage in the Complete Percent field and add any notes in the New Comments field, then click Save. The Action record will then show a status of In Progress.
