In Assure, an Action is a task assigned to a user to complete. Actions are typically linked to a parent module record (such as an Incident Record or Risk Assessment). A Freestanding Action (also called a Free Standing Action) is an Action that has been assigned to a user without being linked to any module record -- it exists independently within the system.
Freestanding Actions are created directly through the Action Manager or My Tasks. By default, the Action Manager list view does not display Freestanding Actions. To view and filter on them, a user must explicitly enable the Freestanding Actions option within the Filter menu in Action Manager.
This article explains how to apply that filter.
Key Concepts
- Action: A task raised within Assure and assigned to a user to complete. Actions can be linked to a module record or created independently.
- Freestanding Action: An Action created and assigned to a user without being linked to any Assure module record. When creating Actions in Assure, it is possible to assign these to users without linking them to a module record; these are known as Freestanding Actions.
- Action Manager: The centralised area in Assure used to view, manage, and filter all Actions across the system.
When to Use This
Use this procedure when you want to view or manage Freestanding Actions from within the Action Manager list view. After these Actions have been created within the Action Manager and you wish to filter on them, follow the steps below.
Filtering for Freestanding Actions in Action Manager
To navigate to Action Manager from the main navigation menu: firstly open the Tasks menu on the side bar.
Under the Task Management drop-down, find and click Action Manager.
Once in the Action Manager, select Filters to open the Filter menu.
Locate the Free Standing Actions option within the Filter by drop-down field.
| Note: If this Filter does not appear in the drop-down list, it can mean multiple things; this filter has not been created or this filter has been created and is set as Is Private, meaning only certain users have access to it. In this case, you will need to create the Filter yourself. Steps on how to do so are located further within this article. |
Enable the Free Standing Actions checkbox.
Apply the filter. The Action Manager list view will now display Freestanding Actions.
Creating a Freestanding Action Filter
To create the specific Freestanding Action filter, follow the below steps:
Once in the Action Manager, select Filters to open the Filter menu.
Click the Manage Filters button, which appears like a pen on paper icon. It sits just to the side of the Filter by drop-down field.
This will take you to the Filter configuration area. To create a new Filter, click the New button.
This will open a Filter creation menu. Give this Filter a name and chose whether it is Private or not. If it is Private, this Filter will only appear for you within the Filter by drop-down menu.
| Note: Make sure the chosen name for this Filter is easy to recognise and appropriate. This will make locating the correct Filter in the Filter by drop down menu easier for you and any other users that may need to use it. |
To start configuring the conditions of this Filter, click the Add button.
This will open a Condition creation menu. For the specific filter we are trying to create, it must match these conditions:
| Field | Condition | Value |
| Module - Name | Equal To | Free Standing Action |
Click Save & Close to save this condition selection as a Condition within the Filter.
This will take you back to the Filter creation menu. You should be able to see the Conditions you created within the Conditions section. Once you are ready to create this Filter, click either Save & Close, or Save & Apply. Clicking Save & Close to go back to the menu or Save & Apply to immediately apply the filter to the opened record.
Now, this Filter should appear in the drop-down field while using the Filter menu within the Action Manager.
