This article explains how to manually create a Record Review (a scheduled validation task assigned to a reviewer to confirm that a module record's information remains current and accurate) against an existing record in Assure. A Record Review can be set either at the point of record creation using the Record Review section within the record form, or at a later date via the Three dots icon. To create a review date manually, the user must hold the Override Review Role Permission, or the Auto Review system setting must be turned off. This procedure applies to any Assure module where the review functionality is enabled.
Prerequisites
- An active Assure user account with access to the relevant module.
- One of the following conditions must be met:
- The user holds the Override Review Role Permission (set to Allow), OR
- The Auto Review setting is turned off in the system.
Note: Without the Override Review permission and with Auto Review enabled, the manual review date field will not be available.
What Is a Record Review?
A Record Review (a scheduled task assigned to a reviewer to confirm a module record remains valid) is governed by a Review Date, which dictates when a member of staff should check the record to ensure the information is still correct and up to date.
Method 1: Setting a Review at the Point of Record Creation
When creating or editing a record, the Record Review section appears at the bottom of the record form. This section allows the user to:
- Indicate whether a review is required.
- Set the Review Date (the date by which the review must be completed).
- Select the Reviewer (the Assure user responsible for completing the review).
Method 2: Setting a Review After the Record Has Been Created
If a review was not configured when the record was originally created, a review can be added at any later point by following the steps below.
Steps
Locate the record in the relevant module list view.
Click the Three dots icon on the record row and select Reviews from the dropdown menu.
Click the Add icon to begin creating a new review.
On the Create Review page, configure the following:
- Review Due Date: the date by which the review must be completed.
- Review By: the Assure user responsible for completing the review.
Click Save and Close to confirm and save the review.
The review is now created and will appear in the reviewer's Review Manager (the centralised task area accessible via the Tasks menu in the left-hand navigation panel).
Notes
- Creating a review manually requires either the Override Review Role Permission OR the Auto Review system setting to be disabled. If neither condition is met, the manual review controls will not be accessible.
- Manually adding a review does not affect the record's approval status or workflow stage.
- Review dates can be created against records in any Assure module where the review functionality is configured.
- Existing reviews can be edited or completed via the Menu Cog on the record, or centrally via the Review Manager.
