Summary
This article explains how to use Multi Mode (the Bulk Multi Attach Tool) in Evotix Assure to add the same attachment (file or URL) to multiple Module records simultaneously. This feature is useful when a single document - such as a sign-up sheet, policy, or reference document—needs to be linked to several records within the same Module without uploading it individually to each record. Multi Mode is accessed from the list view of any module and requires the Access Multi Mode Supervisor Privilege.
Prerequisites
- Active Assure user account with login credentials
- Access Multi Mode Supervisor Privilege assigned to your user account
- Write permission to the Module where you wish to add attachments
- Access to the Module containing the records you want to attach files to
- The file or URL you wish to attach must be prepared and accessible
Problem / Intent
Users need to attach the same document - such as a sign-up sheet, safety policy, training record, or reference material - to multiple records within a module. Uploading the attachment individually to each record is time-consuming and inefficient. This article explains how to use Multi Mode to select multiple records and attach a file or URL to all of them in a single operation, saving time and ensuring consistency.
Steps
1. Navigate to the Module
1.1. Log in to Assure.
1.2. Click Modules in the main navigation bar.
1.3. Select the parent Module (e.g., Incident, Risk Assessment, Audit).
1.4. Click on the sub-module or form where your target records are located.
1.5. The list view of records will display.
2. Enable Multi Mode
2.1. In the module list view, locate the button labelled "Multi Mode" next to the Reports button.
2.2. Click the Multi Mode button.
2.3. The bulk add menu will appear, displaying three selection options:
- Disabled (default)
- Manual
- Apply to All
3. Select Records
Option A: Manual Selection
3.1. Click Manual in the bulk add menu.
3.2. Click on individual records in the list to select them.
3.3. To select or deselect multiple records, hold down the CTRL key while clicking each record.
3.4. Selected records will be visually highlighted.
Option B: Apply to All
3.5. Click Apply to All in the bulk add menu.
3.6. All records currently visible in the list view will be selected.
Note: If you have applied a filter to the module list view, Apply to All will select only the filtered records currently displayed.
4. Proceed to Attachment Page
4.1. After selecting your records (manually or using Apply to All), click the Go button.
4.2. The "Create Attachment" page will open.
5. Review Selected Records and Attach File or URL
5.1. The Create Attachment page displays all selected records.
5.2. Verify that the correct records are listed.
5.3. Click the appropriate button to select the attachment type:
- Choose File to upload a file from your PC
- Add URL to attach a web link
5.4. If uploading a file, browse to the file location, select it, and click Open.
5.5. If adding a URL, enter the full web address in the provided field.
5.6. (Optional) Add a description or title for the attachment if fields are available.
5.7. Click Save or Save and Close to attach the file or URL to all selected records.
5.8. A confirmation message will appear once the attachment has been successfully added.
6. Exit Multi Mode
6.1. Return to the module list view.
6.2. Click Multi Mode again.
6.3. Select Disabled to exit Multi Mode and return to normal list view.
Notes & Warnings
Note: Multi Mode is only available to users with the Access Multi Mode Supervisor Privilege. If you do not see the Multi Mode button, contact your Assure Administrator to request this privilege.
Note: The Apply to All option selects only records currently visible in the list view. If you have multiple pages of records, apply filters or adjust pagination to display all required records before using Apply to All.
Note: Multi Mode can also be used to bulk link policies or connect records to attachments already uploaded to the Attachment Area. This article focuses on adding new attachments.
Warning: Once you click Go, the system expects you to complete the attachment process. If you navigate away from the Create Attachment page without saving, no attachments will be added.

Troubleshooting
| Symptom | Cause | Resolution |
|---|---|---|
| The Multi Mode button is not visible next to Reports in the module list view. | Your user account does not have the Access Multi Mode Supervisor Privilege. | Contact your Assure Administrator or system owner to request the Access Multi Mode privilege for your user account. |
| When I click Apply to All, fewer records are selected than expected. | The Apply to All option selects only records currently visible in the list view. Additional records may be on other pages or hidden by an active filter. | Adjust your filters to display all required records, or increase the number of records per page. Alternatively, use Manual selection and navigate through pages while holding CTRL to select records. |
| After clicking Go, the Create Attachment page does not display all selected records. | The selection may have been cleared, or a system error occurred. | Return to the module list view, re-enable Multi Mode, reselect the records, and click Go again. If the issue persists, contact Evotix Support. |
| The attachment upload fails or produces an error message. | The file may exceed the maximum file size limit, or the file type may not be supported. | Check the maximum file size limit in your system settings. Ensure the file is in a supported format (e.g., PDF, DOCX, JPG, PNG). If issues persist, contact your Assure Administrator. |
FAQ
Q1: Can I use Multi Mode to attach different files to different records?
No. Multi Mode attaches the same file or URL to all selected records. To attach different files to different records, you must add attachments individually to each record.
Q2: Can I use Multi Mode to remove attachments from multiple records?
No. Multi Mode is used only for adding attachments to multiple records. To remove attachments, you must edit each record individually or use other bulk management features if available.
Q3: Does Multi Mode work in AssureGO+?
No. Multi Mode is a main Assure web application feature and is not available in AssureGO+. Mobile users must attach files individually when submitting forms.
Q4: Can I attach files from the Attachment Area using Multi Mode?
Yes. Multi Mode includes the option to Link to Attachment Area, which allows you to connect records to files already uploaded to the central Attachment Area. This article focuses on uploading new attachments, but the same workflow applies—select records, choose the attachment option, and select files from the Attachment Area.
Q5: What happens if I select records from different Organisational Units?
Multi Mode allows you to select records across Organisational Units if your permissions allow. The attachment will be added to all selected records regardless of their Org Unit. Ensure you have Write permission to all Org Units represented in your selection.
Q6: Is there a limit to the number of records I can select in Multi Mode?
There is no hard limit enforced by Multi Mode, but performance may vary depending on the number of records selected and system capacity. If you experience issues with very large selections, consider breaking the task into smaller batches.
