Prerequisites

• System Administrator access to the Learn Admin Area.
• The custom page content (Terms and Conditions text, Privacy Policy text) must be prepared in advance before creating the pages.
• For multilingual deployments: additional languages must be enabled on the platform. Contact your System Administrator to configure languages via Global Languages.

Overview

1. In the Learn Admin Area, navigate to Pages in the left-hand menu.
2. Click Add New.
3. Enter the page content -- for example, the Terms and Conditions text or the Privacy Policy text. The page title can be set to any title at this stage.
4. Click Publish to save and publish the page.

Note: Both pages must be published before they can be assigned in Access Control. A page in draft state will not appear as an available option.

Step 2: Assign the Pages as Terms and Conditions and Privacy Policy

1. In the Learn Admin Area, navigate to Access Control in the left-hand menu.
2. Select Access Control from the submenu.
3. Locate the Terms and Conditions dropdown and select the appropriate custom page from the list.
4. Locate the Privacy Policy dropdown and select the appropriate custom page from the list.
5. Save the configuration.

Note: Any published custom page in Learn appears as an option in these dropdowns. Both dropdowns also include an option to disable the Terms and Conditions or Privacy Policy page if they are not required.

Step 3: Translate the Page Content

1. In the Learn Admin Area, navigate to Pages and open the page to translate.
2. On the Page Edit screen, locate the Language Primary option.
3. Click Change next to the Language Primary option.
4. The system displays all languages available within the Learn account.
5. Select the target language.
6. Enter the translated page content in the relevant fields.
7. Click Publish to save and make the translated content available to users who have that language selected.

Step 4: Reset Acceptance

1. In the Learn Admin Area, navigate to Access Control > Access Control.
2. Click Clear T&Cs to reset acceptance for the Terms and Conditions, or click Clear Privacy Policy to reset acceptance for the Privacy Policy.
3. A confirmation message appears. Confirm the action to proceed.
4. The system begins the process of clearing acceptance for all users.
5. Once the process is complete, an on-screen notification confirms that the Terms and Conditions or Privacy Policy acceptance has been cleared.

Important: This will take effect at midnight in the default time zone set for your Learn account. All users will need to accept the new content after that.

Checking Which Users Have Accepted

• The user listing has been updated to reflect acceptance information directly on each user record.
• Filter options are available to search for specific scenarios -- for example, to identify users who have not yet accepted the Terms and Conditions or Privacy Policy.

1. In the Learn Admin Area, navigate to Users.
2. Review the user listing, which includes acceptance status columns for both pages.
3. Use the available filter options to narrow results by acceptance status.

Important Notes

• Both the Terms and Conditions page and the Privacy Policy page must be published before they can be assigned in Access Control.
• The dropdowns in Access Control include an option to disable either page if it is not needed.
• Resetting acceptance does not delete the page content -- it only clears user acceptance records, requiring all users to accept again after midnight in the account's default time zone.
• Translated page content follows the same language pattern as all other Learn content. The learner sees the version in their device language if a translation has been provided; otherwise, the default language version is displayed.
