Users of the AssureGO+ mobile app can create Actions (tasks assigned to a user to complete a defined piece of work) in two different ways: by creating an action when submitting a form, or by creating a standalone action. Users must be online and logged in to AssureGO+ to assign a specific user to an action or to create a standalone action.
Prerequisites
- Users must be online and logged in to AssureGO+ to assign a user to an action or to create a standalone action.
- For actions on form submission: The Allow Actions to be Created in AssureGO+ setting must be enabled within the relevant Questionnaire configuration in Assure.
- For standalone actions: Users must have the Create Free Standing Actions Supervisor Privilege enabled on their Assure user account. AssureGO+ only users cannot have this permission assigned to them.
- For user-specific assignment: AssureGO+ must be set to Authenticated or Optionally Authenticated, and system users must be configured with the relevant access type.
Method 1: Creating an Action When Submitting a Form
If the Allow Actions to be Created in AssureGO+ setting is enabled as part of a Questionnaire form configuration, any user can add an action when submitting a form.
Authenticated Users
If logged in as an authenticated user, when creating the action, the user can select another system user (including themselves) from a list of users to assign the action to. There are currently no restrictions on the users displayed in this list. However, if there is a large volume of users, the list is paginated and loads around 100 users at a time, so users should not experience any delay.
Unauthenticated Users
If the user is not logged in, a default action owner will be assigned as configured in the Questionnaire settings.Where an unauthenticated Portal is being used, or a user is not logged in, the user will see actions as they have previously, with no For User field displayed when assigning an action.
Method 2: Creating a Standalone Action
A Standalone Action (also referred to as a Free Standing Action) is an action created independently of a form submission and is not linked to a specific module record.
Any Assure user who has permission to create standalone actions in the Assure main system is also able to create and assign standalone actions in AssureGO+.
Steps to Create a Standalone Action
1. Log in to AssureGO+ using an Assure user account.
2. Navigate to the My Task area of AssureGO+. Users with the Create Free Standing Actions Supervisor Privilege will see a Create Task option.
3. Complete the task form and select another user to assign the task to.
4. Any user with an Assure or AssureGO+ user account can have a standalone action assigned to them.
Note: The Create Task option is only available to users who have the Create Free Standing Actions Supervisor Privilege enabled.
How To Enable The Functionality
Enable actions on form submission
To allow users to create actions when submitting a form, the Allow Actions to be Created in AssureGO+ setting must be enabled as part of the Questionnaire configuration in Assure. This is found within the Actions in AssureGO+ section of the Questionnaire settings.
This can be found under Settings > Portal > Questionnaires > clicking the cog wheel icon and selecting Edit from the dropdown menu.
Enable standalone actions
To allow users to create standalone actions, they must have the Create Free Standing Actions Supervisor Privilege enabled on their Assure user account. AssureGO+ only users cannot have this permission assigned to them.
Enable user login to AssureGO+?
To allow users to log in and assign actions to specific users, follow these steps:
- Ensure the system users are configured with the relevant access type.
-
Set AssureGO+ to Authenticated or Optionally Authenticated. This can be edited through Settings > Portal > Portal Dashboard > clicking the cog wheel icon and selecting Edit from the dropdown menu.
- Communicate to your users that they can now log in to AssureGO+. If Single Sign-On (SSO) is not in use, users will require their credentials (username and password).
For further information on authentication, refer to the Authentication of AssureGO+ knowledge base article.

- Relevant Modules and Cross-Module Implications: This article spans AssureGO+ and the Assure main system. Actions created on form submission are tied to the Questionnaire (Portal) configuration in Assure. Standalone Actions (also referred to as Free Standing Actions) require the Create Free Standing Actions Supervisor Privilege to be granted in the Assure main system. Authentication of AssureGO+ is a dependency for both action types when assigning to a specific user. Actions created in AssureGO+ are stored and managed in the Assure Action Manager.
