This article explains how to share records from the Assure main system to AssureGO+ and how to view or download those records using the AssureGO+ mobile app. It covers record visibility settings, module configuration, searching, and downloading records and attachments.

Problem/Intent
Users need to access completed assessments, risk records, and safety documents on mobile devices while in the field or away from a desktop. AssureGO+ allows on-demand viewing and downloading of published records, ensuring critical safety information is always available. This article is used when:
- Field workers need to view risk assessments or safety data sheets on-site
- Contractors require access to supplier or equipment records
- Users need to download attachments or reports from published records
- Administrators want to control which records are visible in AssureGO+
Steps
1. Share Records to AssureGO+ from the Assure Main System
1.1 Enable Publishing on Individual Records
- Log in to the Assure main system via web browser.
- Navigate to the relevant module (e.g., Fire Assessment, COSHH Assessment, General Risk Assessment).
- Open the record you want to share to AssureGO+.
- Click Edit to modify the record.
- Locate the 'Publish to Portal' checkbox and tick it.
- Click Save to apply the change.
Note: Only records with 'Publish to Portal' enabled will be visible in AssureGO+.
1.2 Configure Module Visibility in Portal Dashboard
- In the Assure main system, navigate to Settings > Portal Dashboard.
- Select or create the AssureGO+ app configuration.
- In the Modules section, select the modules from which records should be published (e.g., Fire Assessments, COSHH Assessment, Equipment Register).
- Click Save.
Result: Only records from the selected modules that have 'Publish to Portal' enabled will appear in AssureGO+.
2. View Records in AssureGO+
2.1 Access Records
- Open the AssureGO+ link in a mobile browser or PWA.
- Log in using your Assure credentials (if AssureGO+ Authentication is enabled).
- From the home screen, click Records on the left-hand menu.
2.2 Select a Module
- Choose the module you want to view records from (e.g., GHS SDS, Fire Assessment, Activity Risk Assessment).
2. A list of published records from that module will display.
2.3 Search for a Specific Record
- Use the Search bar at the top of the record list.
- Enter a search term (e.g., record name, hazard type, or keyword such as Acetone).
- Press Enter or tap the search icon.
- Matching records will be displayed.
3. Download a Record as a Report
- Locate the record you want to download from the record list.
- Click Download Report next to the record.
- The report generation will begin. A notification or download queue indicator may appear.
- Click the arrow button (download status icon) to view the download queue.
- Wait for the file to generate. The report will download automatically when ready.
- Click Close to dismiss the download queue once complete.
Note: The report downloads as a PDF or other configured format to your device's default download location.
4. Download Attachments from Records
4.1 Access Record Attachments
- From the Records section in AssureGO+, select the relevant module.
- Use the Search bar to locate the specific record (if needed).
- Click on the record to open the record details view.
4.2 Download Attachments
- Click View Attachments within the record details.
- A list of all attached files (e.g., images, PDFs, documents) will display.
- Click Download File next to the attachment you want to save.
- The file will download to your device.
Note: All attachments added to published records in the Assure main system are available in AssureGO+.
Notes & Warnings
- Record Visibility: Only records with 'Publish to Portal' enabled and belonging to selected modules in the Portal Dashboard will be visible in AssureGO+.
- Module Selection: If a module is not selected in the Portal Dashboard configuration, no records from that module will appear in AssureGO+, even if 'Publish to Portal' is enabled.
- Authentication: If AssureGO+ Authentication is enabled, users must log in to access Records, Attachments, Equipment Register, and Learn training.
- Offline Access: AssureGO+ supports offline form submission, but record viewing and downloading require an active internet connection.
- Attachments: Large attachments may take longer to download depending on network speed.
- Download Queue: If multiple reports are queued, they will download sequentially. The download queue can be accessed via the arrow icon.
Examples
Example 1: Sharing a Fire Assessment Record to AssureGO+
Scenario: An administrator wants to make a Fire Risk Assessment available to field workers via AssureGO+.
Steps:
- Open the Fire Assessment module in the Assure main system.
- Edit the relevant Fire Assessment record.
- Tick 'Publish to Portal'.
- Save the record.
- Go to Settings > Portal Dashboard and ensure Fire Assessment is selected in the Modules section.
- Save the Portal Dashboard configuration.
- Field workers can now view the Fire Assessment in AssureGO+ under Records > Fire Assessment.
Example 2: Viewing and Downloading a COSHH Assessment
Scenario: A contractor needs to view a COSHH Assessment for a chemical on-site.
Steps:
- Open AssureGO+ on a mobile device.
- Navigate to Records > COSHH Assessment.
- Use the search bar to enter the chemical name (e.g., Acetone).
- Click on the matching record.
- Click Download Report to save the assessment as a PDF.
- Open the downloaded PDF to review the COSHH Assessment.
Example 3: Downloading an Attachment from a Supplier Record
Scenario: A user needs to download an insurance certificate attached to a Supplier/Contractor record.
Steps:
- Open AssureGO+ and navigate to Records > Supplier/Contractor.
- Search for the supplier name (e.g., ABC Construction).
- Click on the supplier record to open the details.
- Click View Attachments.
- Locate the insurance certificate file.
- Click Download File to save it to the device.
Troubleshooting
Issue: Record Not Visible in AssureGO+
Cause: The record does not have 'Publish to Portal' enabled, or the module is not selected in the Portal Dashboard.
Resolution:
- Open the record in the Assure main system.
- Ensure 'Publish to Portal' is ticked.
- Navigate to Settings > Portal Dashboard and verify the module is selected.
- Save changes and refresh AssureGO+.
Issue: Download Report Button Not Working
Cause: Network connectivity issues or report generation failure.
Resolution:
- Check your internet connection.
- Retry the download by clicking Download Report again.
- If the issue persists, check the download queue (arrow icon) for error messages.
- Contact Technical Support if the report fails to generate.
Issue: Attachments Not Appearing in AssureGO+
Cause: The record is not published, or attachments were not added in the Assure main system.
Resolution:
- Verify the record has 'Publish to Portal' enabled.
- Open the record in the Assure main system and confirm attachments are present.
- Refresh AssureGO+ and check again.
Issue: Search Bar Not Returning Results
Cause: Incorrect search term or record not published.
Resolution:
- Verify the search term matches the record name or keyword.
- Ensure the record is published and the module is selected in the Portal Dashboard.
- Try searching with a partial keyword or different term.
Issue: Unable to Log In to AssureGO+
Cause: AssureGO+ Authentication is enabled, but credentials are incorrect or account is inactive.
Resolution:
- Verify your Assure username and password.
- Contact your system administrator to confirm your account has access to AssureGO+.
- Reset your password if necessary, via the Assure main system.
