This article explains how to create and send a targeted login message to users within Assure. An administrator with the Manage Message Supervisor Privilege (a high-level permission that grants access to advanced administrative functions) can compose a message that displays to specified users when they next log in to Assure. Messages can be scoped to a specific date range and targeted at individual users, Organisational Units (Org Units), or Notification Groups (predefined collections of users who can collectively receive notifications). Admins can also view a date read receipt showing which users have acknowledged the message.
Overview
The Messages feature in Assure allows administrators to display a notification to users at login. Unlike the Homepage Welcome Message (a system-wide message visible to all users, configured under Settings > System Settings), the Messages feature enables targeted communication with specific users, Org Units, or Notification Groups, and supports a configurable date range for message display.
Note: The Manage Message Supervisor Privilege must be set to Allow on the user's Supervisor Privilege profile.
Sending a Message
Step 1: Navigate to Messages
Select Settings from the main navigation menu.
Under System Configuration, select Messages.
Step 2: Create a New Message
On the Messages screen, click the button to create a new message record.
Enter the message content in the available text field.
Set a date range to control when the message is active and visible to recipients at login.
Step 3: Add Message Recipients
Within the message record, locate the Message Recipients section.
Click the Add button to open the recipient selection screen.
To select all visible users:
Use the Display setting to adjust how many users are shown on screen.
Click Select Visible to select all users currently displayed in the browse screen.
To target specific recipients:
Use the search function to find the relevant Org Unit, individual user, or Notification Group.
Select the required recipients from the search results.
Save and close the message record.
How Recipients See the Message
When a message is active within its configured date range, recipients see the message upon logging in to Assure.
How to review sent messages
Administrators can review which users have read the message. A date read receipt is recorded against each user who acknowledges the message, providing an audit trail of message engagement. To view user engagement statistics, you will need to navigate to the detail view of the Message Record.
Step 1: Navigate to Messages
Select Settings from the main navigation menu.
Under System Configuration, select Messages.
Step 2: Open Detail View
Locate the desired message record.
Open the Cog-Wheel drop down menu and select Detail.
Open the User Message Statistics section.
Here you can find relevant information such as; the user, whether they have read the message, and the date they read it.
Notes
- A message is only visible to users within its configured date range. Outside that range, the message is not shown, even if the user is still listed as a recipient.
- The Select Visible option selects only the users visible on the current browse screen. If the recipient list spans multiple pages, adjust the Display setting to show more users before selecting.
- The Manage Message Supervisor Privilege must be set to Allow for an administrator to create, edit, or delete messages. If the Messages option does not appear under System Configuration, contact an Assure Administrator to confirm Supervisor Privilege settings.
- This feature is separate from the Welcome Message (configured under Settings > System Settings), which displays a system-wide message to all users on the Assure homepage.
