Picklists are drop-down lists used across all sub modules of Assure to ensure that you collect consistent data that can be compared and analyzed across your business.
The picklist data dictionary is used to ensure values are consistent and easy to navigate by populating a drop-down list.
Picklist items can be added, edited, and deleted from the Picklist Data Dictionary under the Settings menu.
Click the menu cog against the field that you would like to enter new data into and click Manage.
Use the available search bar to find the relevant picklist you wish to configure.
To create a new item in the picklist, click the New Record button.
Clicking the menu cog on an item will allow you to edit, copy or delete it.
Please be aware that editing existing picklist items and renaming them will also update existing records on your system that had the original item applied.
When creating a new picklist item, enter the text required. There is a maximum of 255 characters for this field.
Picklist Sub Type Management
There are some picklist items on Assure that rely on a parent value being selected, an example of these would be Incident Sub-Type, Incident Third-Level, and the newly added Hazard Sub-Type.
You can search for "Sub Type" within the picklist data dictionary - Select manage on the cog and press the New Record button.
When adding your sub-type value, you will be required to select the "Parent" property before adding your value, this example relates to the Hazard Type.
When a new module form is being created, if the hazard type of Trip Hazard is selected, this will then populate the sub type list with all values that have Trip Hazard as the parent.
Bulk Add
Bulk mode allows you to add multiple items to a picklist drop down at once.
These must be separated using a new line.
You can also assign the picklist item to only show in the fields for a specific organisational unit.
Click the save and close icon to make the changes.
Please note that if you edit an existing picklist item and rename it with a new value this will update all historical records that contained the original picklist value.
We would advise adding a new picklist item to the dictionary rather than editing for best practice and to reserve any historical data on Assure.
Bulk Delete
Bulk delete allows you to delete multiple picklist list values in one go. To bulk delete picklist values, navigate to the Picklist Data Dictionary:
Click on the cog wheel and select Manage, for the picklist you want to edit:
Click Bulk Delete
Select the values you want to delete:
Note: You can use the search bar to find values, you can use the select visible option to select all values shown on the page.
Click Continue:
Click Delete:
The three values selected will be successfully deleted, and will no longer be available for selection. Where these values have previously been selected, this data will be retained in those records, but the values will not be available in new records.
Note: If the picklist being deleted has child values linked to it, these will also be deleted, eg. if you delete incident type picklist values, all linked incident sub type picklist values and incident third level picklist values will also be deleted.
