This article explains how to enable and configure the Approval Process (the workflow that governs how records are reviewed and authorised in Assure) on a per-module basis in Assure. Approval settings are configured independently for each module via Module Setup (navigated to from Settings). Enabling the Is Approval Used checkbox activates the Approval Process for the selected module. The same steps apply to every module in Assure. Additional options in the same section allow administrators to configure Auto Assign, Auto Approve, and Archiving behaviour.
In Assure, it is possible to configure the Approval settings on a per-module basis. This allows users to enable Approvals in some areas, whilst disabling them in others.
Prerequisites
- Access to Settings > Module Setup in Assure
- The Manage Module Settings Supervisor Privilege (the permission that enables configuration of module settings, reviews, approvals, reports, and Quick Search Columns) set to Allow on the user account
Steps
The example below uses the Incident Record module. The process for enabling Approvals in the Incident module is the same process for each module.
1. Navigate to Module Setup
Log in to Assure and navigate to Settings > Module Setup.
2. Open the Module Settings
Scroll down to the Incident section and click the Menu Cog (the gear icon) alongside the Incident module. Note: the module name may differ if the caption has been amended.
Then click Settings.
3. Enable the Approval Process
Scroll down to the Approvals section.
To enable Approvals for this module, tick the checkbox Is Approval Used.
4. Configure Additional Approval Options (Optional)
There are a number of other options available within this section. It is also possible to configure Auto Assign, Auto Approve, and enable Archiving.
The table below summarises each option:
| Option | Description |
| Is Approval Used | Activates the Approval Process for the module. Records will enter the approval workflow when submitted. |
| Auto Assign | Automatically assigns newly created records to the default assignee configured for the Organisational Unit (found in Settings > Organisational Configuration > Organisational Units |
| Auto Approve | Automatically approves records without requiring a manual approval action from an approver. |
| Archiving | Enables the ability to archive records within this module. Archiving must also be enabled at the system level. |
5. Save the Configuration
Once the configuration is complete, scroll down and click Save and Close.
Result
When you next navigate to the specific module, the Approval Process will be enabled.
Notes
- The Is Approval Used checkbox must be ticked for the Approval Process to be active for a module. If the checkbox is unticked, records in that module will not enter the approval workflow.
- If the Approval Workflow is disabled for a module, the approval icons will no longer appear on the right side of the record on the browse page/list view.
- Module captions may be customised per organisation. If the module name does not match the default, look for the module by its configured caption.
- Approval settings are configured independently per module. Enabling Approvals on one module does not affect any other module.
