This article explains how to configure a module in Evotix Assure so that the person submitting a record can manually choose an Approver (a user with the Approve Role Permission who is responsible for formally approving a module record) during the submission process, rather than having one assigned automatically by the system.
By default, Assure uses automatic approval assignment (Use Auto Approval is enabled). Disabling this setting on a per-module basis switches the approval workflow so that the submitting user selects an Approver at the point of submission.
This configuration is performed entirely within Module Setup and takes effect immediately after saving.
Prerequisites
Before making this change, confirm the following:
- The Approval Process is enabled for the module. The Is Approval Used checkbox must be ticked within the module's settings in Module Setup.
- The user performing this configuration has access to Settings > System Configuration > Module Setup.
- At least one user in the system holds the Approve Role Permission for the relevant module and Organisational Unit. Only users with the Approve permission appear in the manual approver selection list during submission.
Steps
1. Navigate to Module Setup
Select Settings from the top navigation bar.
Look within System Configuration and select Module Setup.
2. Open the Module Settings
Locate the module for which manual approver selection is required.
Select the Cog icon next to the module name.
Select Settings from the Cog menu.
3. Disable Use Auto Approval
Find the Approvals section within the module settings.
Locate and untick the Use Auto Approval checkbox.
4. Save the Configuration
Select Save to apply the change.
Once saved, the module's approval workflow switches from automatic assignment to manual selection. When a user submits a record in this module, a user selector field appears, allowing the submitter to choose an Approver from the list of eligible users.
Outcome
After saving, the following behaviour applies to the configured module:
- During record submission, the submitter is presented with an Approver selector field.
- The selector displays only users who hold the Approve Role Permission for the module and the relevant Organisational Unit.
- The system does not automatically assign an Approver; the submitter must make a selection before the record can be submitted.
Important Notes
- This setting is per module. Disabling Use Auto Approval on one module does not affect other modules. Each module must be configured independently.
- User eligibility for the approver list: A user appears in the manual approver selection list only if the Approve permission is set to Allow in their Role for the module and Organisational Unit in question. Users without this permission are not visible in the selector.
- Approval Process must be enabled. If Is Approval Used is not ticked for the module, the approval workflow does not run and this setting has no effect. Confirm the Approval Process is active before enabling manual selection.
