IQ Template - Enhancements – Evotix

This article describes three enhancements to the iQ Template (a configurable question set used to capture structured data against Assure records) configuration in Assure. The enhancements introduce two new question types -- a Signature Question and a Date Time Question, and expand existing functionality within the Actions/Attachments field on iQ Questions.

Prerequisites

Before accessing the iQ Template enhancements described in this article, confirm the following:

Your Assure account has the Advanced iQ Question Set enabled. All standard sites of Assure should have this enabled by default. Customers without this question set should contact their Customer Success Manager for further information.
These question types are only available in Mixed iQ templates

Enhanced Question Types Overview

Signature Question

The Signature Question is a new question type available within Advanced iQ Question Sets. It allows a respondent to provide a digital signature directly within the iQ form when completing a record in Assure.

Date Time Question

The Date Time Question is a new question type available within Advanced iQ Question Sets. It allows a respondent to record a specific date and time value as a discrete answer to an iQ question.

Actions/Attachments Field - Expanded Functionality

Expanded functionality has been added to the Actions/Attachments field within Questions. This allows actions and attachments to be configured and captured at the individual question level within an iQ Template, providing greater control over how evidence and follow-up tasks are linked to specific questions.

Step 1 - Navigate to iQ Templates

To find these iQ Template enhancements, navigate to Settings > Templates > iQ Templates.

The iQ Templates management table lists all available iQ Templates with the following details: Name, Type, Language, Is Published status, and Version. Options to create a new record or import an iQ Template are available at the top right. Filter and search options are also available. Each row includes a settings icon for further actions.

Step 2 -Prepare the iQ Template for Configuration

Before adding the new question types, the iQ Template must be in a Draft state and the Question Set must be opened for configuration.

To configure an existing iQ Template:

The iQ Template must be in a Draft version. To create a draft, select the Cog icon on the relevant template and select Create Draft. Then select the Cog again and choose Configure Question Set.

To create a new iQ Template:

Select the green New Record button. Name the iQ Template and set the Question Set to Mixed. Configure any other settings to suit the specific needs of the template, then click Save & Close. Then select the Cog icon and choose Configure Question Set

Step 3 -Add a Signature Question

The Signature Question can be added to a new Section or placed under Questions already configured. Select the Signature Question and drag and drop it under the Section or Question where it should appear. The Signature Question can be named in the same way as other Questions within the iQ Template configuration. There is no option to configure the Signature Question response type. However, the same question setup options available for other Questions apply.

What the respondent must complete when submitting a Signature:

When a user submits a Signature, end users must provide their Full Name and a Description. An Auto Date Time stamp is generated automatically and configured to the user's region.

Note: If the Signature Question is set to Mandatory, all fields except the Description must be completed

Step 4 -Add a Date Time Question

The Date Time Question, like the Signature Question, must be dragged and dropped under a Section or another Question. To configure the Date Time Question, select the highlighted configuration option.

Configuration options for the Date Time Question:

With the Date Time Question, the Administrator can select to capture just the Date, just the Time, or both on the same question. Under the Date option, restrictions can be set to control how far back or how far ahead the user can select a date. This validation is relative to the date on which the user first starts the form. For the Time option, no restrictions can be applied. Select Save when configuration is complete.

The Configure Response dialog provides the following options:

Option	Description
Time	Captures a time value
Date	Captures a date value
Date cannot be more than X Day(s) before form started	Restricts how far back the user can select a date
Date cannot be more than X Day(s) after form started	Restricts how far ahead the user can select a date
User can enter any date in the past	Removes the backward date restriction
User can enter any date in the future	Removes the forward date restriction

Step 5 - Configure Actions/Attachments on Questions

There is the ability to add Actions/Attachments fields on all Questions. Using the dropdown options, the Administrator can now set the Actions and Attachments sections to be Mandatory, Optional, or not shown at all.

Important Limitations

With both the Date Time Question and the Signature Question, it is not possible to set Branched Conditions from these question types.
