Custom Reporting Periods allow Insights dashboards to be filtered by a customer-defined date range, rather than relying on fixed calendar periods.
Customers can configure their custom reporting periods in Assure and, once Insights has been linked, data will automatically display according to the dates set, together with the custom period label.
To enable this is a two step process:
- Configure the Custom Reporting Periods using the instructions below.
- Once the periods are configured, contact you CSM to request Insights to be linked to the new dates, in order for data to pull through automatically. Please note, for customers without a Managed Application Service (MAS) agreement, a small one-off fee applies to enable custom reporting periods in Insights.
To locate Custom Reporting Periods you must have the ‘Manage Custom Reporting Period’ supervisor privilege. System Privilege and Administrators are given this privilege by default.
How to set Manage Custom Reporting Privilege
Settings → Organisational Configuration → Supervisor Privileges
From the list of user types displayed select the cog on the row of the type you wish to give this permission. Then select edit
You should now be able to access the Custom Reporting Screens.
How to set Custom Reporting Periods
To access the custom reporting period screens please follow the below path.
Settings -> System Configuration -> Custom Reporting Periods
This screen contains a list all the custom reporting periods set up.
To add a new reporting period
Select New Record.
Here you are required to add a Name for the new period, a Date From and a Date To. Once these details are entered, press Save and Close, You will return to the list screen and see the new custom period.
Please note: There is validation is in place for creating/editing custom periods:
The From Date must be earlier than the To Date.
Dates cannot overlap with any existing custom period.
To edit an existing period
Select the cog icon on the row of the period you wish to edit. Then select edit. This will take you to the edit screen where you are able to edit the name/ dates of that period.
To delete a period
Select the cog on the row of the period you wish to delete. This will then present a dialog confirming that you want to delete the custom period. Select yes and the period will delete.
Validating the Custom Periods
To validate your existing custom periods hit the Validate button. This will inform you of any gaps that exist in the periods and what those gaps are. It is important there are no gaps in reporting periods as this will impact data reporting.
Any gap in the configured reporting periods will result in records for those dates having no matching period. This means:
If a single day is missing from the reporting periods, any records dated on that day will not appear in period-based analysis in the dashboard.
Incomplete periods do not cause an error — the data simply goes unattributed, which can lead to silent under-reporting.
Periods must cover every year you wish to report on, not just the current year.
It is advised to check the validation regularly, particularly after making changes.
Please note: The initial release of custom periods works across module records but not currently with Incident Analysis. That is being tested in Phase 2. We will update this article once that is available and custom period reporting applies to Lost Time Incident dashboards.
