Summary
This article explains how Learn Administrators configure the content structure within Learn (Evotix's training and learning platform). It covers the three primary methods for delivering training content: required training (assigned via the People module in Assure with due dates), learning pathways (self-paced curriculum structures), and Resources (non-scoring reference materials). The article describes the hierarchical structure of learning pathways (Pathway, Level, Mission, Stage) and when to use each assignment method based on training requirements.
Cross-module scope: This workflow spans both Learn and Assure modules. Required training courses are managed through the Assure People module (via Training Needs Analysis), where administrators assign courses with due dates and recurrence patterns. Learn provides the content delivery, while Assure handles assignment, tracking, and compliance management.
Prerequisites
- User Role: Learn Administrator or equivalent role with permissions to create and configure content in Learn
- System Access: Access to the Learn Admin Area
- Integration (for required training): Learn must be integrated with Assure, and the People module must be configured for Training Needs Analysis
- Planning: Time allocated to plan training structure and content levels before beginning configuration
Problem / Intent
Learn Administrators need to understand how to structure training content effectively to match organisational training requirements. Without clarity on the differences between required training, learning pathways, and Resources, administrators may assign content incorrectly, leading to poor learner experience, compliance gaps, or confusion about training expectations.
This video walks administrators through the process of structuring content within the Learn platform. It explains best practices for organising training materials, categorising resources, and ensuring a logical flow for learners.

Creating your Content Structure – Getting Started
The Learn content structure is designed to provide training content using several different methods to best fit the content type and completion requirements. Content can be assigned either (1) as required training, made available as part of a learning pathway, or (2) as a reference material.
Before starting with creating content, spend some time planning your training structure and content levels.
Which options should I choose?
The best assignment option depends heavily on the type of content. Regulatory requirements or courses with specified due dates or recurrence patterns should be assigned as required training using the People module. Click here for more information.
Training that is part of a designated curriculum, but does not have due dates or recurrence, can be assigned as part of a learning pathway. This allows learners to complete the training at their own pace. Click here for more information about creating learning pathways.
Training materials that are for reference purposes or related to specific interests or topics can be added as resources. Click here for more information.
Steps
1. Plan Your Content Structure
1.1. Before creating any content in Learn, identify the type of training content you need to deliver.
1.2. Determine whether each piece of content requires:
- Due dates or recurrence: Training that must be completed by a specific date or repeated at regular intervals
- Curriculum-based completion: Training that forms part of a structured learning journey but without strict deadlines
- Reference access only: Materials learners can access at any time for informational purposes
2. Choose the Assignment Method
Select the appropriate assignment method based on content type:
2.1. Required Training (via Assure People Module)
- Use for: Regulatory requirements, mandatory compliance training, or any training with specified due dates or recurrence patterns
- Assigned through: Assure People module using Training Needs Analysis (TNA)
- Characteristics:
- Enforces due dates
- Supports recurrence patterns (e.g., annual refreshers)
- Tracks compliance
- Missions (see section 3) can be linked to courses in the People module
2.2. Learning Pathways
- Use for: Designated curriculum training without strict due dates or recurrence requirements
- Assigned through: Learn platform directly
- Characteristics:
- Learners complete training at their own pace
- Structured as a hierarchical learning journey
- No automatic due dates
2.3. Resources
- Use for: Reference materials, topic-specific content, or materials related to learners' personal interests
- Access method: Made available to learners in the Resources section of Learn
- Characteristics:
- Non-scoring
- Non-essential (not required for compliance)
- Accessible after pathway completion for ongoing reference
3. Understand Learning Pathway Structure
Learning pathways in Learn are constructed using a four-level hierarchy:
3.1. Stage (lowest level)
- The individual piece of learning content
- Can be: video, SCORM file, quiz, document, or other created content
- Multiple Stages on similar topics combine to create a Mission
3.2. Mission
- A collection of Stages grouped by similar topic
- For required training: the Mission is linked to the course in the Assure People module
- Multiple Missions combine to create a Level
3.3. Level
- Represents the main themes or topics of the Pathway
- Groups related Missions together
- Multiple Levels combine to create a Pathway
3.4. Pathway (highest level)
- The overall learning curriculum assigned to a user
- Comprises all Levels for a complete learning journey
Hierarchy Summary:
Pathway
└── Level (main themes/topics)
└── Mission (main topics of the level)
└── Stage (individual content pieces)
4. Configure Resources
4.1. Navigate to the Resources section in the Learn Admin Area.
4.2. Resources are presented in categories to help learners locate materials.
4.3. Add Resources that serve as:
- Reference material after pathway completion
- Company news
- Essential communications
- Employee health checks
- Employee contests and competitions
- Social announcements
Note: Resources are non-scoring and non-essential. They do not contribute to learner compliance or completion tracking.
Notes & Warnings
Note: Learn is typically used with Assure or Evotix 360 and not as a standalone product. Integration is required for full training management functionality.
Warning: Choosing the wrong assignment method can create confusion. Regulatory or compliance training must be assigned as required training via the People module to ensure due dates and recurrence are enforced.
Note: When required training is managed via the Assure People module, the Mission within Learn is linked to the course record. This connection enables tracking and compliance reporting in Assure.
Examples
Example 1: Regulatory Compliance Training
Scenario: An organisation needs to deliver annual Health & Safety compliance training with a strict due date and annual recurrence.
Solution:
- Create a Mission in Learn containing all relevant Stages (videos, quizzes, documents)
- Link the Mission to a course in the Assure People module
- Assign the course to employees via Training Needs Analysis (TNA)
- Set a due date and annual recurrence pattern in Assure
Outcome: Learners see the training in their Learn dashboard with a due date. Assure tracks completion and triggers recurrence annually.
Example 2: Self-Paced Onboarding Curriculum
Scenario: A company wants new employees to complete a structured onboarding programme at their own pace within the first 90 days, without strict due dates for each module.
Solution:
- Create a Pathway called "New Employee Onboarding"
- Build Levels for key themes (Company Culture, Systems Training, Safety Basics)
- Within each Level, create Missions grouping related Stages
- Assign the Pathway to new employees in Learn
Outcome: New employees work through the Pathway at their own pace. No due dates are enforced, but progress is visible.
Example 3: Reference Materials
Scenario: Employees need ongoing access to safety procedure documents, company policies, and mental health resources.
Solution:
- Add documents and links to the Resources section in Learn
- Organise Resources into categories (Safety Procedures, HR Policies, Wellbeing)
Outcome: Employees can browse and access Resources at any time without tracking or scoring.
Troubleshooting
Symptom: Training is not appearing in learner's dashboard
Cause: The training may not be assigned correctly, or the integration between Learn and Assure is not functioning.
Resolution:
- For required training, verify the course is assigned via the Assure People module TNA.
- Confirm the learner has a user account in both Learn and Assure with the same unique email address.
- Check that the Mission in Learn is correctly linked to the course in Assure.
- Verify the Learn and Assure integration is active.
Symptom: Learners cannot find reference materials
Cause: Resources may not be published or categorised correctly.
Resolution:
- Navigate to Resources in the Learn Admin Area.
- Confirm the Resources are published and assigned to the correct categories.
- Verify learners have access to the Resources section in their Learn interface.
Symptom: Due dates are not enforcing for required training
Cause: Training may be assigned as a learning pathway instead of required training via the People module.
Resolution:
- Confirm the training is assigned via the Assure People module (not directly in Learn as a pathway).
- Check the due date settings in the Training Needs Analysis (TNA) record in Assure.
- Verify the Mission is linked to the course in the People module.
FAQ
Q1: What is the difference between a learning pathway and required training?
A: A learning pathway is a self-paced, structured curriculum created in Learn that does not enforce due dates or recurrence. Learners complete it at their own pace. Required training is assigned via the Assure People module, includes due dates and recurrence patterns, and is tracked for compliance.
Q2: Can Resources be scored or tracked?
A: No. Resources are non-scoring and non-essential reference materials. They are not tracked for completion or compliance. If scoring or tracking is required, the content should be added as a Stage within a Mission or assigned as required training.
Q3: How do I link a Learn Mission to a course in the Assure People module?
A: When creating or editing a course in the Assure Course Library (within the People & Training module), you can link it to a Learn Mission. This connection allows the Mission to be assigned as required training with due dates and recurrence managed in Assure.
Q4: What is a Stage in Learn?
A: A Stage is the lowest level of content in a learning pathway. It represents an individual piece of learning material, such as a video, SCORM file, quiz, document, or other created content. Multiple Stages combine to form a Mission.
Q5: Can I use Learn without Assure?
A: Learn is typically used with Assure or Evotix 360 and not as a standalone product. Integration with Assure is required for full training management functionality, including required training assignment, due dates, recurrence, and compliance tracking.
Q6: What types of content can be added as Resources?
A: Resources can include any non-essential, non-scoring content such as company news, essential communications, employee health checks, contests, social announcements, reference documents, policies, or supplementary training materials learners can access at any time.
