Recurrent/Renewable Training Requirements - Replace and Update
In the People module, the Training Needs Analysis (TNA) page allows you to assign a Qualification or TNA Template to one or more Employees, in order to allow you to select a group of courses which require completion.
The Replace and Update functionality also exists in Assure to allow for Training requirements that need to be renewed or repeated to be included within a Training Needs analysis record for an Employee.
For example: the TNA for the Employee displayed below has a selection of courses that they have been working towards as part of the Health & Safety Officer qualification within their organisation.
In this example, the Fire Warden course is a certificate that the business requires the user to renew annually.
They have completed the course in early 2015, but the Assure user responsible for managing training requirements within this individuals team knows that the employee will need to refresh/repeat this training for the next business year.
To indicate the recurrent requirement for this Training Requirement, and to put in the next date for when the training must be renewed, the Assure user can choose to use the Replace and Update functionality.
Note: Replace and Update is only available for Training Records that are already in a Completed status.
How to Replace and Update
To update a TNA for a course with a "Completed" training record and supply a new date by which the course must be repeated/refreshed, select the Cog alongside the correct training record and choose the "Replace and Update" option from the dropdown menu:-
Using Replace and Update on the record will create a new training requirement for this course within the TNA grid on screen, with the "Required By" date cleared out, and the training record status reset to "Not Started":-
The Course Date for the record will also be marked as "Override" as the existing course date has been overridden.
Please note, the details of the Completed Training record for the previous date are kept by Assure although they are no longer part of the Employee's outstanding Training Needs Analysis record.

Removing a Course from a TNA
When you're in a Person's TNA and need to remove a course, you can do so by selecting the "Remove" button.
Removing a course from a TNA indicates that the individual is no longer required to complete it as part of their TNA. However, the associated training records will remain in the system, they will no longer be linked to the TNA. To fully delete these training records, you will need to remove them separately.
