This covers the permissions that control who can do what with the Scheduler, and what happens to a person’s scheduled activities when they leave the business or are disabled.
Permissions
- Managing schedules requires the Supervisor privilege for creating and managing record schedules, this also allows for reassignment of individual activities.
- Standard Assure permissions and org-unit masking apply throughout. You only see the org units and users you are permitted to, and assignees only see their own activities.
- Seeing other people's activities in Activity Manager uses the existing “view tasks for other people” permission, the same one that covers actions, reviews and approvals
- Managing someone in User Management automatically gives you visibility of their scheduled activities too, the same way it already works for actions, reviews, and approvals.
- Reassign scheduled activity. A separate permission that lets someone reassign an individual activity without needing the full Supervisor privilege for managing schedules. Anyone with that Supervisor privilege can already reassign regardless of holding this permission.
- Override scheduled activity. A separate permission that lets someone Connect, Disconnect, or Start Record on an activity that isn’t theirs, from Activity Manager. This is not included in the Supervisor privilege for managing schedules — it has to be granted on its own, even to schedule managers.
- All permissions are denied by default and must be turned on explicitly for anyone who needs them.
When a user leaves or is disabled
Deleting or disabling a user checks for their outstanding Not Started or In Progress scheduled activities, the same way it already checks their Actions, Reviews, and Approvals.
- If they have any, you’ll be able to reassign any schedules and outstanding scheduled activities. This requires the Manage Users permission, separate from the Supervisor privilege for managing schedules.
You can then see how many schedules and outstanding scheduled activities the user has, and select another user to assign them to.
- Completed and Not Completed activities are left alone — they stay in the original user’s history and aren’t offered up for reassignment.

- Changing someone’s access type (for example, from Assure + AssureGO+ down to AssureGO+ only) does not trigger this check. However, please be aware the if a user has in progress activities and you change their access type to AssureGO+ only they will not be able to complete these. In progress activities are not available on AssureGO+.
